Selling on Bol.com often runs by itself. The bookkeeping behind it does not. Many sellers log into the seller portal at the end of the week or month, export a list of orders and then retype it into Moneybird line by line. That works, until your sales grow. Then retyping becomes a job that eats hours and, more importantly, is exactly where the errors creep in that your accountant finds later.
Where manual work goes wrong
Handling things by hand feels orderly, but there are more pitfalls than you would expect.
- Typos in amounts and quantities. One wrong digit and your revenue no longer matches what lands in your bank. You only notice when you reconcile, often weeks later.
- Forgotten fees. Bol.com deducts commission, shipping fees and other cost types from your payout. Anyone who only retypes the sales amounts books revenue too high and costs too low. Your net margin looks better than it is.
- VAT per line and per country. If you also sell through Bol.com Belgium or to other EU countries, a different rate applies. By hand, that is exactly the kind of detail you overlook.
- Returns left hanging. A refunded order should become a credit note. Skip that and you keep revenue on your books that you never actually earned.
- Payouts that do not reconcile. The amount Bol.com pays out is rarely equal to the sum of your orders, because the fees have already come off. Without a clean reconciliation that gap keeps nagging.
Each of these is fixable on its own. Together they mean your month does not add up and you spend half an hour hunting a difference of a few euros.
What a connector does differently
With the connector between Bol.com and Moneybird, Schakel pulls your sales automatically and books them as invoices in your administration. The steps you now do by hand happen by themselves, the same way, every day.
In practice that means:
- Every Bol.com sale becomes a Moneybird sales invoice, with line items and the right VAT rate per line.
- Commission, shipping and other cost types are booked separately, so your margin is correct rather than flattering.
- The Bol.com payout statement is reconciled against your invoices, so the amount in your bank matches your books.
- Sales to Belgium and other EU countries automatically get the right rate, ready for your OSS return.
- A return automatically becomes a credit note for exactly the refunded amount. Nothing needs correcting afterwards.
Because it runs daily, your bookkeeping keeps pace with your sales instead of trailing weeks behind. Your accountant simply carries on in Moneybird, where everything is already booked.
You do not need a webshop for it
A common assumption is that you need Shopify or another webshop for this. You do not. This connector runs on its own through your own Schakel account. You connect your Bol.com account with an API key from your seller account, authorise Schakel through Moneybird and pick the administration and ledger accounts everything should land on. Your Bol.com password is never asked for or stored, and your credentials are stored encrypted.
Before anything becomes final, you see the first invoices in an overview. Once the picture looks right, the rest runs by itself. If a booking fails once, it is retried automatically and the log shows exactly which order it concerns.
Did you switch mid-year?
Then that need not leave a hole in your books. Revenue from before you connected can be rebuilt from your Bol.com consolidated invoices, so the earlier months are complete in Moneybird too.
Getting started
Retyping is fine as long as you have a handful of orders a month. Once there are more, you quickly earn back the time a connector saves you, and the small differences you keep chasing disappear.
