Moneybird automation
An assistant inside your own Moneybird. You type what needs doing, it shows you what it is about to do, and it speaks up on its own when something is waiting.
- Unprocessed transaction 12 Sep SEPA 2026-0234 VAN BEEK INTERIEUR BV 595.00100 ConfidenceOpen invoice 2026-0234 Van Beek Interieur B.V. 595.00
Proposal The invoice number is in the description and the amount agrees to the cent.
- Unprocessed transaction 12 Sep TRANSFER ZOETENDAAL VOF 1,213.4795 ConfidenceOpen invoice 2026-0228 Zoetendaal VOF 1,213.47
Proposal The counterparty is named and this amount picks out exactly one open invoice.
- Unprocessed transaction 13 Sep SEPA CT, NO NAME GIVEN 842.3585 ConfidenceOpen invoice 2026-0231 Van Dijk Ontwerp 842.35
Left alone One open invoice has this amount and nothing else confirms it. Worth telling you about, not worth booking unasked.
- Unprocessed transaction 13 Sep PAYMENT 2026-0219 200.0045 ConfidenceOpen invoice 2026-0219 Bakker Interieur 495.00
Left alone The reference is there, the amount is not. A part payment or a typo, and booking it would mark the customer paid.
- Unprocessed transaction 14 Sep TRANSFER, NO REFERENCE 250.0030 ConfidenceOpen invoice Three open invoices of 250.00 250.00
Left alone Several invoices share this amount and nothing chooses between them. A round number scores lower again.
2 of 5 clear a threshold of 90. In propose mode nothing in Moneybird changes until you say yes. At this threshold a match gets through that is wrong. That is what the default of 90 is for.
A connector links two systems. An automation needs only one: you connect your own Moneybird administration, and Schakel does the work inside it that otherwise sits waiting for you.
You talk to it in a chat in your Schakel dashboard. Making invoices and quotes, photographing a receipt, logging hours, looking up contacts and asking questions about your own figures: it all runs on the same sentences you would say out loud. Anything that changes something shows you first what it is about to do.
And it does not always wait for you. A payment that belongs to an invoice, an invoice that is overdue, a payment out with no receipt, the end of a VAT quarter: you hear about those, with the figures attached.
WhatsApp is an add-on you can switch on, not a requirement. Turn it on and the same conversation also runs over your phone, both ways. Leave it off and nothing about the automation changes.
What that looks like
Four exchanges out of your own administration. The chat in your Schakel dashboard is where these happen; WhatsApp mirrors them if you switch it on.
Rather have it in WhatsApp? This is what that channel looks like
Eight switches
Turn on what you need and leave the rest off.
The assistant
A chat in your Schakel dashboard that handles invoices, quotes, receipts, hours, contacts and questions. Anything that writes shows you first what it is about to do.
Read moreMatching payments to invoices
Schakel reads your unprocessed bank transactions and finds the open invoice each one belongs to. Propose the match or book it, you choose.
Read moreThe receipt behind a payment
Money goes out and no purchase invoice belongs to it. Schakel asks for the receipt, and reminds you once if it does not turn up.
Read moreInvoices that are overdue
A message when a due date has passed, with the customer, the amount and the number of days. Chasing is a separate choice.
Read moreMonthly summary
On the first of the month: what you invoiced, what came in and what is still outstanding.
Read moreQuarterly VAT reminder
At the start of a new quarter, a reminder that the return is coming, with the deadline attached.
Read moreUnprocessed bank transactions
A nudge while bank transactions are still open, and it stops by itself once the pile is empty.
Read moreWhatsApp as well
The same conversation on your phone, both ways. An add-on, not a requirement.

Connect your Moneybird administration
You authorise Schakel from inside Moneybird itself, so a password is never asked for, and you can revoke the access again at any moment. If you keep more than one administration, you pick which one.
How do I get my Moneybird API details?Let the setup propose your defaults
Schakel reads your VAT rates, ledgers, bank account and invoice template out of your administration and fills the settings in for you. You check them, you do not have to go looking for them.
Switch on what you need
Eight switches, you choose which. Most are already right: payment matching starts on propose, and chasing your customers and WhatsApp are off until you turn them on.
Start with a question
Ask in the chat what is still outstanding. Nothing changes from that, and you see straight away that it is looking in your own administration. Then a receipt, so you see the confirmation step too.
It works next to what you already run
Your connectors into Moneybird keep running
If a connector from Bol.com, Shopify or WooCommerce already books invoices into your Moneybird, nothing about that changes. The automation looks at what is in your administration, it does not take over the booking.
The chat in your dashboard is the main channel
You need no phone number and no second app. You log in, type in the chat panel, and see every notification your automations raised in the same place.
One administration per automation
If you keep more than one administration in Moneybird, you pick which one per automation. That way the figures of two businesses never run into each other.
What it costs
An automation follows the same ladder of three plans as a connector: free to start, and two paid plans above that.
The unit here is a conversation or a notification, not an order: making one invoice counts once, however many messages you exchange about it. If you already have a connector into Moneybird with us, the automation joins as an extra connector at a discount. The pricing page has the full picture.
Every plan starts with 30 days to try everything, no card required.

Do I need WhatsApp?
No. The chat in your Schakel dashboard is the main channel and can do everything: invoices, quotes, receipts, hours, contacts, questions and your settings. WhatsApp is an add-on that also brings the same conversation to your phone, both ways, and you add it if you want to.
Can the assistant just write into my administration?
Only after your yes. The model picks an action from a fixed list and executes nothing itself: our code validates the arguments, shows you a preview of what will be written, and waits. Sending, crediting, deleting, registering a payment and changing an existing contact always confirm, and that is deliberately not a setting you can switch off.
What if the assistant misunderstands something?
You see it in the preview before anything is booked, and you say no. When it does not know which project something belongs to, it does not guess but asks. It can remember your answer as a knowledge card, and every card records who wrote it, so what it taught itself is something you can find and take away.
Does Schakel book my bank payments on its own?
Only if you switch automatic on. The default is propose: Schakel holds the transaction against your open invoices, shows the match with a confidence from 0 to 100, and you decide. The threshold is 90, so only a near-certain match is proposed at all.
I already have a connector into Moneybird. Does that clash?
No. A connector from Bol.com, Shopify or WooCommerce books invoices into your Moneybird, and that stays exactly as it is. The automation looks at what is in your administration and does not take over that booking. It joins as an extra connector, at a discount.
Is my data safe?
Your Moneybird access is stored encrypted and everything runs on servers in the EU. You authorise from inside Moneybird itself, so we never know your password and you can revoke the access at any moment. You can delete your account and everything attached to it.
Can I try it for free?
Yes. You get 30 days to try everything, no card required. After that you fall back to the free plan, unless you pick another one yourself.
